Rotary Club of Gettysburg Board of Directors Meeting
7:30 a.m., Dec. 19, 2018

Present: Steve Fill, Brad Hoch, Deb Geesey, Bill Braun, Shannon Harvey, Alex Hayes, Scott Wehler, Chris Kimple
Absent: Ken Farabaugh, Terri Hamrick
 
Secretary’s report (Alex Hayes)
  • Approve Nov. 28, 2018 board meeting minutes (Hoch, Kimple, unanimous vote)
  • Approve resolution for ACNB Bank so Steve Fill has access to examine records as part of his role as treasurer. Resolution also gives access to Past Treasurer Al Crosby should there be any questions during the transition period. (Hoch, Harvey, unanimous vote)
Treasurer (Steve Fill)
  • Fill noted assets are down. This is due to having to pay for the 2018 Holiday Party. Members will be billed for the party in January so the assets will be recouped. Treasurer’s report was accepted. (Kimple, Geesey, unanimous vote)
  • President-elect (Brad Hoch)
  • Larry Redding has agreed to be vice president for 2019-20 Rotary Year. This will make him club president in 2021-22. Brad Lancaster will serve as community services chair. We still need a membership chair. Slate will be presented to membership in January.
  • Hoch would like to start international student of quarter program in partnership with Gettysburg College International Program Director Rotarian Brad Lancaster. Every quarter, Lancaster will pick a student to join us for meals. He or she will give a program during the end of their term about their home country, area of study, etc. Hoch asked for a motion to accept the proposal. Only cost to club would be the student’s meal. (Wehler, Fill, unanimous vote)
  • Rotary District 7390 President-elect training (PETs) will be Feb. 22 – 23. Hoch will be out of town but has received permission to attend the Chesapeake District PETs. He is also registered for pre-PETS.
  • Hoch will be spearheading the 2019-20 District Grant project for Seminary Ridge Museum educational programs.
  • There was extensive discussion on charging members for meals when they do not attend Monday meetings. All present acknowledged that this issue has been discussed several times over the years but no one has found a solution to ensure the club is receiving the minimum amount of funds needed to pay the Gettysburg Hotel. Hoch believes an answer is to grow the membership so it is extremely likely enough people will be at every meeting. Key to this is finding a strong membership chair.
International Service (Chris Kimple)
  • Ground has not yet been broken on the shed at Survivors Inc. shelter, which is being funded by a club grant. 
Community Service (Scott Wehler)
  • Wehler proposed the club sponsor a team from Gettysburg College in the dodgeball tournament. There was consensus to support this proposal. Hayes noted planning for the dodgeball tournament will begin after the holidays.
  • The club is waiting for Lynn Cairns to supply more information on the possible water project for Project Gettysburg Leon.
  • Also waiting for more information from a Rotary district that is hosting its conference in Gettysburg and wants to partner on community service project.
Vocational service (Shannon Harvey)
  • Larry Redding will assist Ashley Andyshak Hayes with scholarship program.
  • Dictionaries have been ordered to distribute to local third grade students in the spring. Costs of dictionaries went from $60 to $72 per case of 24. We were able to stay in budget this year due to having several cases in storage. Our supply will mostly depleted this year so next year’s budget will need to be increased to reflect the cost change.
  • A student from Gettysburg College wants our club to sponsor her for a Rotary Global Grants Scholarship. Harvey will schedule meeting with student.
Club Service (Steve Fill)
  • Fill asked for motion to buy new flag stand. (Wehler, Hoch, unanimously approved)
  • Foundation (Ken Farabaugh)
  • John Kramb will be doing program on Foundation.
  • Membership (Alex Hayes)
  • Hayes attempted to buy screen for Wednesday meetings at Battlefield Brew Works. Staples only sells them online so he will order it.
  • President (Bill Braun)
  • Need committee members to chair 100th Anniversary celebration in 2020 being chaired by Ralph Serpe. Fill, Hamrick, Geesey and Hayes were named to committee.
  • Braun will coordinate a meeting with New Oxford Club members to further discuss proposal of them becoming a satellite club of the Rotary Club of Gettysburg. Hayes, Fill and Braun will represent Gettysburg club.
Old/New Business 
•    Hoch questioned whether we have liability insurance. Hayes will check with district.
